Terms and Conditions

These terms and conditions apply to every vehicle hire booking made with us. By booking a vehicle you agree to follow these terms. If you do not accept them do not place a booking.

1. Who we are

We provide self drive vehicle hire services in the United Kingdom. We supply 4x4 vehicles and similar SUVs for short and long hire periods. We may offer delivery and collection where available. References to we us and our mean the vehicle hire provider. References to you your and customer mean the person who makes the booking and any authorised driver.

2. Definitions

Booking means the reservation you make for a vehicle and dates. Vehicle means the car we supply to you including keys accessories and any fitted equipment. Hire period means the time from handover to collection or return. Deposit means any refundable security payment we take to cover risk and potential charges. Excess means the amount you pay towards any insured loss or damage.

3. Eligibility to hire

You must meet our eligibility rules at the time of booking and at handover. You must provide a valid driving licence and any supporting documents we request. You must be legally entitled to drive in the UK. We may refuse a booking if we cannot verify your identity or licence details. We may refuse a booking if you do not meet our insurer requirements.

You are responsible for ensuring all drivers meet the same requirements. Each additional driver must be declared and approved before the hire begins. Unapproved drivers must not drive the vehicle.

4. Documents and checks

You must provide documents in advance or at handover as requested. This may include a photocard licence a passport and proof of address. We may carry out licence checks and fraud prevention checks. You agree we may share required information with our insurers and verification providers.

5. Booking and confirmation

A booking is not confirmed until we accept it and confirm availability. We may take a booking payment before confirmation in some cases. If we cannot confirm we will refund any payment taken for that booking. We may contact you to clarify details such as delivery time address and driver information.

6. Prices and payments

Prices are based on the hire dates vehicle type location and any selected options. The price shown or quoted covers the agreed hire period only. Extra time extra mileage fuel differences damage and other charges may apply. We will explain known charges before you agree to proceed.

Payment must clear before handover unless we agree otherwise. We accept payment methods we advertise at the time of booking. You authorise us to charge any amounts due under these terms.

7. Deposit and pre authorisation

We may require a deposit or a card pre authorisation before handover. The deposit helps protect against loss damage excess charges fines and unpaid fees. If a pre authorisation is used it reduces your available credit until released by your card provider.

We aim to return refundable deposits promptly after the vehicle is checked. Some charges may take time to confirm such as tolls parking or speeding penalties. We may hold all or part of the deposit until those items are resolved. If charges exceed the deposit you must pay the balance when requested.

8. Vehicle handover and condition report

We will agree a handover time and location with you. At handover we may record the vehicle condition mileage and fuel level. We may take photos or videos for record keeping. You must check the vehicle and confirm any existing marks or issues before you drive away.

If you notice a problem after handover you must tell us as soon as possible. Do not continue to drive if the vehicle is unsafe. If you fail to report issues promptly we may treat them as occurring during your hire.

9. Use of the vehicle

You must use the vehicle responsibly and in line with UK law. You must not use the vehicle for hire and reward courier work racing track use or any illegal activity. You must not tow unless we have confirmed towing is permitted for that vehicle. You must not carry dangerous goods other than normal household items.

You must not smoke or vape inside the vehicle. You must not allow animals in the vehicle unless we agree in advance. You must not remove branding tracking devices or safety equipment. You must keep the vehicle locked when unattended and keep keys secure at all times.

10. Off road use and 4x4 guidance

Some vehicles have 4x4 capability but this does not mean all off road use is allowed. You must follow the vehicle handbook and any guidance we provide. You must avoid driving through deep water and avoid routes likely to cause damage. You are responsible for recovery costs if you become stuck due to misuse or poor route choice.

You must never disable safety systems. You must not use the vehicle in a way that risks mechanical damage. If you are unsure about a route ask us before you travel.

11. Geographical limits

Unless we agree otherwise the vehicle must stay within the UK mainland. Travel outside the UK may require written approval and additional cover. You must tell us in advance if you plan to travel to islands or remote areas. If you breach geographical limits you may become liable for full loss and recovery costs.

12. Mileage fuel and charging

Your booking may include a mileage allowance. If you exceed that allowance we may charge an extra per mile rate. We will confirm mileage rules during booking.

The vehicle is normally supplied with a recorded fuel level. You must return it with the same fuel level unless we agree a different arrangement. If fuel is lower on return we will charge for fuel and a refuelling service fee.

If the vehicle is hybrid or electric you must follow charging guidance. You are responsible for charging costs during the hire. You must return any charging cables supplied.

13. Delivery and collection

If we offer delivery and collection we will agree the location and time window with you. You must ensure access is available and the location is safe and legal for parking. If we cannot complete delivery or collection due to access issues you may be charged.

You must be present at the agreed time unless we approve an alternative process. If you are late or unavailable we may treat this as a late return or missed handover. Charges may apply for additional staff time and rescheduling.

14. Late return and extensions

You must return the vehicle on time at the agreed place. If you need an extension you must request it before the end of the hire period. Extensions depend on availability and insurer approval.

Late return may affect other customer bookings and our operations. If you return late we may charge extra hire time and an administration fee. In serious cases we may treat the vehicle as unlawfully retained and take recovery action.

15. Breakdowns and mechanical issues

If the vehicle develops a mechanical issue stop safely and contact us promptly. Do not authorise repairs without our approval unless it is an emergency needed to prevent further damage. Keep receipts and evidence if emergency repairs are unavoidable.

If the issue is not caused by misuse we will aim to support you. This may include roadside assistance a replacement vehicle or a refund of unused hire time. Availability of a replacement is not guaranteed. We are not responsible for indirect losses such as missed flights or business interruption.

16. Accidents damage and theft

You must tell us immediately if the vehicle is involved in an accident is damaged or is stolen. You must also report theft and serious incidents to the police and obtain a crime reference number. You must not admit liability to any third party. You must provide full details and cooperate with insurers and claims handlers.

If the vehicle is damaged you may be responsible for the excess and any uninsured loss. You may also be responsible for loss of use while the vehicle is repaired. If keys are lost or stolen you may be charged for replacement keys locks and recovery.

17. Insurance

We may include insurance in the hire price based on the cover available. Insurance is subject to insurer terms and driver eligibility. Insurance usually includes an excess which remains payable by you in the event of a claim.

Insurance may become invalid if you breach these terms. This includes use by an unauthorised driver driving under the influence reckless driving or using the vehicle for prohibited activities. If insurance is invalid you may be liable for the full cost of loss damage and third party claims.

18. Fines tolls and penalties

You are responsible for all fines penalties charges and fees incurred during the hire. This includes parking charges congestion charges tolls and speeding penalties. If we receive a notice we may provide your details to the authority as required. We may charge an administration fee for handling each notice.

Some penalties arrive after the hire ends. You remain responsible for them and you authorise us to charge your payment method where permitted.

19. Cleaning and condition on return

You must return the vehicle in a reasonable condition. Normal road dust and light dirt is expected. Excessive mud sand pet hair smoke smell stains or rubbish may lead to a cleaning charge.

If the vehicle requires specialist cleaning or valeting we will charge the cost plus an administration fee. If the vehicle is returned with damage we will follow the damage process set out in these terms.

20. Cancellations by you

If you need to cancel tell us as soon as possible. Cancellation fees may apply depending on how close the cancellation is to the start date. We may also retain non refundable costs already paid such as third party delivery bookings.

If you cancel after handover you must pay for the time used and any committed costs. Refunds if any are at our discretion unless UK law requires otherwise.

21. Cancellations by us

We may cancel a booking if the vehicle becomes unavailable due to damage breakdown or safety concerns. We may also cancel if we cannot verify your documents or if you do not meet eligibility rules.

If we cancel before handover we will refund payments made for the hire price. We may offer an alternative vehicle where available. We are not responsible for indirect losses caused by cancellation.

22. Our right to end the hire

We may end the hire early if you breach these terms or if we believe the vehicle is at risk. In that case you must return the vehicle immediately when asked. We may recover the vehicle and you may be charged for recovery costs. You remain responsible for all charges up to the time the vehicle is recovered and inspected.

23. Personal property

You are responsible for your belongings. Check the vehicle at return. We are not responsible for items left in the vehicle. If we find lost property we may store it for a limited time and may charge a handling fee for returns.

24. Data protection

We collect and use personal information to manage bookings verify identity process payments and handle claims. We may share information with insurers payment processors verification services and authorities where required. We keep information for as long as needed for legal and operational reasons.

You have rights over your personal data under UK data protection law. You can contact us to request access correction or deletion where applicable.

25. Complaints and disputes

If you have a complaint contact us promptly so we can try to resolve it. Provide booking details dates and supporting evidence such as photos. We aim to respond within a reasonable time.

If we cannot resolve a dispute you may have the right to use alternative dispute resolution where available. Nothing in these terms limits your statutory rights as a consumer.

26. Liability

We do not exclude liability for death or personal injury caused by our negligence. Subject to that we are not liable for losses that are not reasonably foreseeable. We are not liable for indirect losses such as loss of profit loss of business or missed connections.

You are liable for loss damage and costs arising from your breach of these terms. This includes recovery cleaning repair loss of use and insurer costs where applicable.

27. Changes to these terms

We may update these terms from time to time. The version that applies to your booking is the version in place at the time you confirm the booking. If we make a material change after booking we will tell you where possible.

28. Governing law

These terms are governed by the laws of England and Wales unless we agree otherwise in writing. The courts of England and Wales will have jurisdiction for disputes arising from these terms.
